How to Order Your Honor Guard Uniforms:

Daily, we at J.Higgins get phone calls, emails, and word of mouth inquiries about how to order your honor guard uniforms. We try to make this process easy for you so that raising an honor guard isn't complicated. Here is a step by step list of the processes that we use at the shop to get your uniforms ordered, made, and sent to you. 

State & Dept Finance: 

Some departments have specific needs for making an order. Some states need a buyer/vendor/supplier agreement filled out, which we are happy to do. We can also send a copy of our W9 for your finance dept along with anything else that you need. Just email us at admin@jhiggins.net with these requests and we’ll gladly help. Once your finance dept has our needed information, we can get to ordering. We generally like to have one point of contact throughout this process. 

Ordering:

We can make orders using three different methods:

Online - you can select from our listed online catalogue and make your order there. Ensure to use the correct billing information for the card (which is charged at the time of purchase) and the shipping address (where your uniforms will be sent). You can create a secure online account, or order as a guest with confidence. 

Email/PO - send us an email at admin@jhiggins.net with the list of the items you want (stock numbers and descriptions are listed on the website) and the quantities of each. Based on the items you want, we can formulate a quote and send along to you for your finance dept to create a purchase order. Once we have a purchase order or a department purchase card on file, we can get the order in the works for you. No need to have your measurements filled out yet. 

Phone - we can get some of the work done over the phone, but we still prefer detailed correspondence in writing so we can keep everything organized. We can take credit card payments over the phone, be sure to mention to us if you’d like the card run ahead of shipping. We normally run all cards when we ship your order out

Fiscal Year/Deadlines - We need to be alerted if you have a time sensitive due date (for fiscal year or desired event) before placing your order. Terms and conditions like these must be stated up front before an order is made as that may affect how we're able to service your department.

Getting Your Measurements:

Once we have the order started, we can look at getting your measurements. With the use of our measurement guides, you can take specific measurements for each person in your unit. Please be sure to follow the directions on the form so as to not skew your details. As a note, we don’t recommend the use or involvement of independent tailors to come measure you for us. Different companies have different ways of taking the same measurements. We find it useful to keep it consistent with one person measuring using a cloth tape measure; it can be anyone! Once you have all of the needed numbers, formulate one email response and send these over to us. We then take your measurements and put them into specific stock sizes for each of your members. We may have questions about the measurements, so hold onto these forms until confirming your uniform fits. 

Don’t use forms or instructions from other companies to measure your unit. We need complete and thorough information to make each uniform in the detail we’re known for. 

We can also meet via video conference and see and document how you’re taking these measurements. This is helpful for large units and easy for us to monitor your fitting as if you were in our store. We use Zoom for these conferences and can meet anytime during our standard business hours, Monday through Friday from 9am to 5 pm CST.

Try-On Sizes:

In the event that a unit decides to order a custom look (non-stock & non-returnable) we send out try-on sizes to confirm the fit before cutting your special uniforms. This gives both yourselves and us the confidence of the fit where we can make special adjustments based on this trial. We send out a detailed guide for trying on these uniforms, documenting the fit/changes, and then sending them back properly. Some departments also make use of a video conference call while trying on these sizes. 

We send these to you free of charge, and you send these back to us when you’re finished with them. It is useful to keep the packaging and send these back using the same care in which they arrived to you. 

Uniform Try On Guide

Order Timelines:

Once your measurements are decided and your fittings documented, we then start making your jackets and pants. Some of our more popular jackets and pants, like the full trim styles, are things that we stock. Meaning that we can outfit most (if not all) of a unit right from the start. Sometimes we have to make things from scratch to suit a unique body type, or a customized look. In these cases, we have longer wait times than our stock uniforms. These are things that we will estimate for you upon seeing the full scale of the order and the detail needed in fulfilling it. Each unit is different and giving a blanket statement isn’t how we like to do business. We are also distributors for major honor guard accessories like hats and leather gear. Especially for large or customized orders, these chosen accessories take time to be made and inspected. You can always inquire about your status, timeline, and other updates as you wish during this time. 

Shipping Your Order:

After making all of the items on your order and double checking the work, we’re ready to send these out to you. We take time to pair the jackets and pants appropriately and label other sized items with the name of the intended member. These will be notated on your invoice in the box. We send tracking to the email on file every time there is a box going out so you can check with the appropriate shipping courier on its progress en route to you. Larger orders will have multiple boxes so be sure to check these upon receiving shipments. We can also split shipments of “in-stock” items ahead of backordered ones so you can get a segment of your order sooner. These may look confusing if your finance dept is unaware, so make sure to inspect these carefully as you receive partial shipments. These will be noted on the invoice as A, B, and C etc. parts respectively. 

Returns and Exchanges:

All of our stock uniforms are returnable and exchangeable. We ask that any needed exchanges are made known within 60 days of receiving an order. We cannot accept returns on things that have been used or anything that has had alterations made on them. These include sewing alterations, patches, badges, metalwork, hemming, and other permanent personalization. If you’re in need of a different size, then we can happily exchange to get you what you need. We ask that we have these exchanges back and in-hand before sending your updated sizes out for you. Much like your measurements, we prefer to have these done all at once and not piecemealed out in multiple shipments. Customized items are not returnable or exchangeable, hence why we go through try-on sizing before making these special uniforms.

Reordering:

We keep a record of each shipment and order we make. If you’re an existing customer and looking to reorder, we try to make this easy for you by documenting your fit and current style. Simply contact us about placing a new order and we’ll happily requote based on your needs.
